Quotation tips that win more work

  • Keep validity short (7–15 days) when material prices move, and say so on the quote.
  • Write clear terms: advance amount, delivery time, what is not included (transport, installation, taxes).
  • Itemise: customers trust a quote with separate lines more than a single lump sum.
  • Follow up a day or two before the validity date.

Frequently asked questions

What should a quotation include?

Your business name and contact details, the customer's name, a quotation number and date, how long the prices are valid, each item with quantity and rate, taxes (GST) if you are registered, the total, and your terms: advance, delivery time, payment terms and what is not included.

Is a quotation the same as a proforma invoice or an estimate?

They are close. A quotation or estimate offers prices before the customer agrees. A proforma invoice is usually sent after the customer agrees, to ask for an advance. None of them is a tax invoice, so no GST is due until you issue the actual invoice.

Do I need GST on a quotation?

If you are GST-registered, show GST so the customer sees the final cost. If you are not registered, untick "Add GST" and the quotation shows plain prices.

How do I turn the quotation into an invoice?

When the customer accepts, press Convert to invoice. The items (after discount) and the customer's details move to the GST invoice generator, where you download the tax invoice.

Is my data saved?

Your business details, terms and the next quotation number are saved only in this browser. Nothing is uploaded.
